Terms & Conditions



This contract is between Ultra Care Clinic Limited, the limited company operating the clinic you attend, trading as Baby Bump Sheffield ("we", "us"), and you, the customer ("you"). It is governed by the following terms and conditions of sale ("Conditions"), none of which affect your statutory rights:

  1. 1. The Services : We provide non-diagnostic keepsake scans of your baby. All scans are performed by trained and registered medical professionals specialising in fetal ultrasound. These professionals may be radiographers, midwives, or doctors, referred to in these Conditions as sonographers.With your consent, we will carry out a fetal ultrasound scan to check the size of your baby, detect multiple fetuses, observe the position of the fetus and placenta, and potentially detect some anomalies. If your sonographer observes anything concerning, they will discuss it with you and, with your permission, may refer you to your NHS care provider. A copy of the findings may be shared with your NHS provider upon your consent. It is your responsibility to follow up with your NHS provider as advised.We also offer internal transvaginal scans when medically required. The sonographer will explain the procedure in detail beforehand, and it will only be carried out with your explicit consent.

  2. 2. Medical history : You understand that we are a non-diagnostic clinic and do not have access to your full medical history. Therefore, we cannot provide general medical advice regarding your pregnancy. Our scan services do not replace NHS antenatal care and are not exhaustive in identifying all fetal abnormalities. Detection rates may be reduced due to gestational limitations or the nature of ultrasound itself. A summary of the abnormalities screened for is available upon request at the clinic.

  3. 3. Appointment Arrival and Timeliness Policy : To ensure a smooth and efficient appointment process, we kindly request that you arrive at least ten minutes prior to your scheduled time and complete the consent form using your login details.If unforeseen circumstances cause you to run late, please contact us immediately. Please understand that late arrivals may result in reduced scan time or rescheduling, as appointments must conclude at their originally scheduled time. Repeated lateness or failure to attend may result in cancellation and corresponding charges. Your cooperation ensures a timely experience for all.

  4. 4. Modification : We reserve the right to modify or improve our service without prior notice.

  5. 5. Photography & recording : Personal photography or video recording is not permitted in our clinics.

  6. 6. Age : You must be 18 years old or over to use our services.

  7. 7. Right to Make Changes : If you wish to change the services or products ordered, please contact us. We will let you know whether the change is possible.

  8. 8. Prices : Prices are listed in our clinic and/or website. We accept payment by debit/credit card (excluding American Express), and cash payments are accepted at the clinic.

  9. 9. How We Accept Your Order : Your order is accepted once a deposit payment of £30.00 is made. If we cannot accept your booking, we will inform you and no payment will be taken.

  10. 10. Information Required to Provide Services : We require accurate and complete information from you to provide our services, including your hospital notes, pregnancy history, your GP and midwife information. Failure to provide such information may lead to service delays, contract termination, or additional administrative charges. We are not responsible for any service delays resulting from missing or incorrect information.

  11. 11. Cancellation of Services by You : You may cancel your appointment at any time before receiving services. However, you may not be entitled to a refund. In cases where the product or experience is faulty, you may be eligible for some form of refund. Please refer to the "Your Rights" box in the clinic for further information.

  12. 12. Cancellation of Services by Us : We reserve the right to cancel or suspend services if payment is not received or if essential information is missing. If we have not yet provided services, any prepayments will be refunded minus any reasonable costs incurred.

  13. 13. What You Will Receive Following the Scan : We will discuss the scan outcome with you during your appointment. Depending on the package purchased, you will receive printed and digital images and/or videos. Scan reports are only provided in referral cases.

  14. 14. Ownership of the Product : We retain copyright ownership of all scan images taken. You gain full ownership of the purchased scan media and any applicable report only after full payment is received.

  15. 15. What We Cannot Guarantee : We will always do our best to capture high-quality images. However, the position of your baby during the scan is beyond our control and may impact image quality.For gender scans, while we make every effort to accurately identify the baby’s sex, we cannot guarantee 100% accuracy and accept no liability for errors.

  16. 16. Our Liability to You : We are not liable for injury, loss, or damage to your personal belongings while on our premises. We are only responsible for foreseeable loss or damage caused by failure to comply with these Conditions. We do not accept liability for business losses as our services are for domestic and private use. We do not exclude any legal liability where it would be unlawful to do so.

  17. 17. Intellectual Property & Marketing : We own all intellectual property related to our promotional materials, website, and booking system. Unless you opt out, you agree to receive promotional emails about future offers and products.

  18. 18. Delays Outside Our Control : If your appointment is delayed or rescheduled due to factors outside our control (e.g., technical issues, legal changes), we will notify you promptly. We are not liable for these delays. If a substantial delay occurs, you may cancel and receive a refund for any prepaid but unreceived services.

  19. 19. How We Use Your Data : Your personal information is used solely to provide services, process payments, and verify identity within the clinic. We do not share your data with third parties unless required by law or with your written consent. We retain scan copies for 30 days to assist with post-scan queries or issues.

  20. 20. Enforceability : If any part of this contract is deemed illegal or unenforceable, the remaining provisions will remain valid and in effect.

  21. 21. Refunds : We have a strict no-refund policy. However, we will do our best to reschedule your appointment. This may include cases such as; baby's position affecting scan quality, gestational age not matching the estimated age, technical issues.

Your rights under the Consumer Rights Act

You can ask us to repeat or fix a service if it's not carried out with reasonable care and skill, or get some money back if we can't fix it. If your product is goods (i.e. a picture), the Consumer Rights Act 2015 says goods must be as described, fit for purpose and of satisfactory quality.

Online dispute resolution and Alternative Dispute Resolution

Alternative dispute resolution is a process where an independent body considers the facts of a dispute and seeks to resolve it, without you having to go to court. If you are not happy with how we have handled any complaint, you may want to contact the alternative dispute resolution provider we use. If you live in Scotland you can bring legal proceedings in respect of the products in either the Scottish or the English courts. If you live in Northern Ireland you can bring legal proceedings in respect of the products in either the Northern Irish or the English courts.
